Business Coordinator
ABOUT THE POSITION
The Business Coordinator is primarily responsible over the business functions of the local education agency. Responsibilities include, but not limited to the following core areas of the business operations: Local/State/Federal Compliance, Accounting/Procurement, Operations and Logistics, IT Support Management and other operational duties assigned. This position will report directly to the Director of Operations. Meridian is looking for an Business Coordinator for immediate hire as we prepare for SY2023-2024.
Primary responsibilities include:
Operations Support
- Collaborates with the Meridian Management Team in the orientation, monitoring, and supporting new staff
- Support the Operations Coordinator with arrival and dismissal procedures
- Serve as a back up to Operations Coordinator
- Supports various committees with coordination of set-up and logistical support that may require assistance from other departments
- Serve as the point of contact for all external substitute companies
- Ensure substitute coverage is arranged for classrooms and office support
- Ensures the field trip process is followed through to ensure all items are booked and paid for prior to trip
- Support School Health Services and Nursing Services and serve as the point of contact
- Support Out of School Time programs at least one day each week
- Provide support to any additional duties for the operations of the school
Accounts Receivable and Payable
- Own procurement and purchasing for both campuses
- Work with school leaders to understand needs, place order, inventory items received, and handle return/exchanges
- Review and verify invoices for all school purchases
- Create purchase orders for purchases made by various departments
- Review and reconcile monthly financial reports such as credit card statements, bank deposits and staff reimbursements
- Manage all supplies coming into the school to ensure everything is accounted for
- Make weekly bank deposits to local bank
Administrative Support and Compliance Management
- Monitor the District of Columbia regulations, Office of State Superintendent of Education, Federal regulations and DC Public Charter School Board compliance areas for the school
- Create and submit various documents for reviewing to various department managers
- Review and submit all items to various entities in a timely manner to ensure deadlines are met and compliance is maintained
- Recommend improvements to stay compliant with the Charter School Laws and regulations
- Provide support to the procurement policies and procedures to ensure compliance with Charter School requirements
- Support business operation team members with various administrative duties
- Support the Manager of Auxiliary Services with school safety processes and compliance including administering training and running safety drills
- Partner with the school safety team to respond to emergencies
- Support the school COVID re-entry plan to the school as well as supporting the POC for COVID related issues
- Support the front desk with coverage on an on-going basis for both campuses
- Support with AOM procedures as needed for both campuses
Information Technology
- With support and guidance from the Director of Operations, support and adhere to all IT policies and procedures
- Work with related service providers as needed
- Provide school level management of telecommunications and IT equipment and related services
- Serve as first point of contact for the day to day technology operations along with the contracted provider
Secondary Functions and Responsibilities
- Works with the Facility Department and outside contractors to help coordinate minor construction projects
- Maintain records for the Director of Operations as it relates to school documents
- Maintain the emergency management systems/drills and performs monthly drills with the manager of auxiliary services for both the elementary and middle school
- Participate in staff meetings and on various committees
- Manage the school store with apparel sales and inventory management
- Perform other duties as assigned
QUALIFICATIONS
- Bachelor’s degree; preferably in Business, Finance or Accounting
- Minimum of five years of experience working in a non- profit organization in Operations Administration, Business Administration or Finance
- Bi-Lingual in Spanish (speaking/writing) is a plus, but not required
- Medication administration training must be completed within six months of employment
